QuickBooks Setup Guide

Welcome to the Gvami LLC QuickBooks Setup Guide. Whether you are installing QuickBooks for the first time or setting it up on a new computer, this guide will walk you through every step to get your software up and running quickly and correctly.

Before You Start — What You Will Need:
  • ✅ Your QuickBooks license key (delivered to your email by Gvami)
  • ✅ Your product number (also in your delivery email)
  • ✅ A stable internet connection for the initial download
  • ✅ Administrator access on your Windows or Mac computer
  • ✅ Minimum 2.5 GB of free disk space

Step 1 — Download QuickBooks Desktop

After receiving your license key by email from Gvami, download the official QuickBooks Desktop installer directly from Intuit’s website:

  1. Visit the official Intuit download page at downloads.quickbooks.com
  2. Select your QuickBooks version (Pro, Premier, Enterprise, or Mac)
  3. Select the correct year (2023 or 2024)
  4. Select your country — United States
  5. Click Download and save the installer file to your desktop

Step 2 — Run the Installer

  1. Locate the downloaded file (usually named QuickBooks.exe on Windows or QuickBooks.dmg on Mac)
  2. Double-click the file to launch the installer
  3. If prompted by Windows User Account Control, click Yes to allow the installation
  4. Accept the Intuit License Agreement and click Next
  5. Choose your installation type:
    • Express Install — recommended for single-user setups
    • Custom and Network Install — recommended for multi-user setups or if you want to choose the installation folder
  6. Click Install and wait for the installation to complete (this may take 5–10 minutes)

Step 3 — Enter Your License Key

  1. Once installation is complete, open QuickBooks Desktop
  2. On the welcome screen, select “I have a license number”
  3. Enter your License Number — formatted as XXXX-XXXX-XXXX-XXXX
  4. Enter your Product Number — formatted as XXX-XXX
  5. Both numbers are in the delivery email you received from Gvami
  6. Click Next to proceed

Step 4 — Activate QuickBooks

  1. After entering your license details, QuickBooks will ask you to activate
  2. Click Activate QuickBooks
  3. QuickBooks will connect to Intuit’s servers to verify your license — this requires an internet connection
  4. Once verified, you will see a confirmation that your software is activated
  5. You can now use QuickBooks fully without any restrictions

Step 5 — Set Up Your Company File

  1. On the QuickBooks home screen, click “Create a new company”
  2. Choose Express Start for a quick setup or Advanced Setup for more control
  3. Enter your company name, industry, and fiscal year start month
  4. Set your chart of accounts based on your business type
  5. Save your company file to a location you can easily back up — we recommend an external drive or cloud backup service

Step 6 — Multi-User Setup (Optional)

If you purchased a multi-user license (2, 3, or 5 users), follow these additional steps:

  1. Install QuickBooks on each computer using the same license key
  2. On the computer that will host the company file, go to File → Utilities → Host Multi-User Access
  3. On the other computers, go to File → Open or Restore Company and browse to the network location of the company file
  4. Each user will need a unique QuickBooks username set up under Company → Users → Set Up Users and Roles

Common Installation Issues

Issue Solution
License key not accepted Double-check for typos. Make sure you are entering the correct key for the correct version and year.
Installation fails or freezes Temporarily disable your antivirus software during installation. Re-enable it after installation is complete.
Activation error message Ensure you have a stable internet connection. If the error persists, contact our support team.
Company file not found on network Ensure the host computer has Multi-User Access enabled and that all computers are on the same network.
QuickBooks running slow Check that your computer meets the minimum system requirements. Close other applications while running QuickBooks.

  • Processor: Minimum 2.4 GHz (4 GHz recommended)
  • RAM: Minimum 4 GB (8 GB recommended)
  • Disk Space: 2.5 GB free (additional space required for company data files)
  • Screen Resolution: 1280 x 1024 or higher
  • Internet: Required for activation and updates

Mac

  • Operating System: macOS Monterey (v12.0) or later
  • Processor: Intel Core 2 Duo or higher (Apple Silicon supported)
  • RAM: 2 GB minimum (4 GB recommended)
  • Disk Space: 250 MB available
  • Internet: Required for activation
